Team and permissions

Everyone on your account's team has one role. This article explains the roles, how to invite people and change their roles, and how ownership works.

The roles

Roles matter once you have a team. A plan with one team member has no one to give a role to: that member is the owner and an admin. Team roles come with plans that have more than one team member.

Every account has one owner, who is also an admin. Whoever creates the account is its owner until they hand it over. Beyond that, each person is an admin, an editor or a viewer.

An admin runs the account. An editor builds courses. A viewer looks but doesn't change anything. The table shows exactly what each role can do. The owner is an admin who can also do the few things marked owner only.

Invite someone

Under Settings → Team, an admin enters an email address and picks a role. The person gets an email with a link that works once and expires after seven days. If they already have a Cedarras login, they sign in and accept. If not, they choose a password and join. Following the link never signs anyone in by itself.

Only the owner can invite someone as an admin. From the same page you can resend an invitation (the old link stops working) or revoke it.

Your plan's team size

Your plan includes a number of team members, counting everyone: owner, admins, editors and viewers. A pending invitation holds a seat until it's accepted, revoked or expires. If your plan is full, Cedarras says so when you invite. Moving to a smaller plan never removes anyone; you just can't add more.

Change a role or remove someone

On Settings → Team, an admin can change an editor's or viewer's role, or remove them. Only the owner can promote someone to admin, demote an admin, or remove an admin. Changes take effect on the person's next page load. Someone moved to viewer, or removed, loses any AI assistant connection they had for the account.

Removing someone takes them off the account. The courses and files they made stay with the account.

Leave an account

Anyone except the owner can leave an account from Settings → Accounts. You lose access until someone invites you again.

Hand over ownership

The owner can't be removed or demoted, and can't leave. To hand the account over, first make the person an admin, then on Settings → Team choose Transfer ownership and type their email address to confirm. You stay on the account as an admin and can then change your role or leave.

If you're the only person on the account and want it closed, contact support.
