Students and enrollment
In Cedarras, students come from Kit. When a subscriber has your course's Kit tag, they're a student in that course. You don't add them by hand.
How a subscriber becomes a student
Every course is connected to at least one Kit tag. When an active subscriber in your Kit account has one of those tags, Cedarras makes them a student in the course. Unsubscribed or otherwise inactive subscribers don't.
Cedarras matches people by email address. If there's no Cedarras login for that address yet, Cedarras creates one for them, using the first name from Kit. They set a password from their welcome email. If the address already has a login, Cedarras uses it.
This happens three ways:
- You tag a subscriber in Kit (by hand, a form, an automation or a purchase). Kit tells Cedarras right away.
- You connect a tag to a course that subscribers already have. Everyone currently active on that tag becomes a student.
- The daily sync with Kit. It catches anything missed and makes each course's students match Kit exactly.
See How Cedarras works with Kit. for more on tags.
The enrollment email
When a subscriber is tagged and that makes them a new student in a course, Cedarras emails them. What they get depends on whether they've set a password:
- No password yet: a welcome email with a link to set a password. The link works once and expires after 7 days.
- Already has a password: an email saying they now have access, a list of their courses, and a link to sign in.
If your account has a live custom domain, the links in the email point at your domain.
The email is not sent when:
- You connect a tag to a course and its existing subscribers become students all at once.
- The daily sync adds a student.
- A student who had ended comes back (see below).
- The person was already a student in that course through another tag.
- The same person was already emailed about that course in the last hour.
- Their address is bouncing or marked as spam.
An admin can still send it from the Students tab (below).
Students setting a password
A new student follows the link in their welcome email and sets a password, then signs in. Following the link doesn't sign them in on its own.
If the link has expired, the page offers Send me a new link. A student can also use Forgot your password? on the sign-in page at any time. A new link for someone who hasn't set a password yet lasts 7 days; a reset link for someone who already has one lasts one hour.
Students see all their courses on their own My courses page after they sign in.
When a tag is removed
When a student no longer has any of a course's tags (you removed the tag, or they stopped being an active subscriber), what happens depends on whether they ever started the course:
- Never started: they're removed from the course completely.
- Started or completed: they're kept, but their access ends. Their progress, quiz results and dates are saved. They see the course marked as ended and can't open its lessons.
If an ended student gets the tag back, their access comes back, with their progress just as they left it. They don't get another enrollment email.
The Students tab
Account admins have a Students tab at the top of the app. Editors don't see it.
It lists everyone who is or was a student in one of your account's courses, active or not. You can:
- Search by name or email.
- Filter to one Course.
- Tick Bouncing only to see addresses that aren't accepting email.
Each row shows whether the student has set a password, their email status, and how many of your courses they're active in. Click a name to see each of your courses they're in (Active or Inactive), when they started and completed, and when the enrollment email was last sent.
Resend email sends that course's enrollment email again, right away. It's turned off, with the reason shown, when:
- The student no longer has access to that course.
- Their address is bouncing or marked as spam.
- The person is a Cedarras platform administrator.
You only ever see your own courses here, never another creator's.
Bouncing and spam complaints
If an email to a student bounces permanently, or they mark it as spam, Cedarras stops sending email to that address: no enrollment emails and no password links. The Students tab shows it as Bouncing or Marked as spam, with the date and the mail server's reason.
The usual fix is a typo or old address in Kit. Correct it there, so the student gets the course under the right address.
Open signup
By default, the only way in is a tag. If you want people to be able to sign up on their own, an admin can turn on open signup in Settings → Account Details. It's off by default.
Once it's on, the page shows your Signup link. Someone who uses it gets an email to confirm their address and set a password. When they do, they're added as a subscriber in your Kit account.
Signing up doesn't put anyone in a course. They become a student when they get a course's tag, the same as everyone else.
Your student support email
Students will have questions about access, content and grades, and those are yours to answer. In Settings → Account Details, an admin can set a Student support email. It's optional.
When it's set, students see it on your course and lesson pages ("Questions about this course? Email …") and in student help. Leave it blank to hide it. Cedarras never sends mail from it.
How many students you have
Your plan includes a number of active students. Each person counts once, however many of your courses they take. Cedarras never turns a student away: if you grow past your plan, students still get in, and your account shows that it's over the limit.
